What is a watermark on a PDF?

A watermark is text or an image, such as CONFIDENTIAL, DRAFT or a company logo, placed on the pages of a document, usually large, faint and diagonal, behind or over the content. In a PDF, watermarks mark a document's status or ownership and discourage copying, while leaving the content readable.

Common uses

Businesses mark drafts so nobody mistakes them for final versions, label documents as Confidential or Internal before sharing, and brand proposals and reports with a logo. Photographers and designers watermark previews so they can't be used without permission, and some teams add the recipient's name to a copy so a leaked file can be traced.

In legal and business documents, watermarks such as COPY or PRIVILEGED AND CONFIDENTIAL show how a document may be used, though they don't replace the protections an agreement or a court requires.

Text and image watermarks

A text watermark is a word or short phrase in a chosen font, size, colour and angle. An image watermark uses a picture, usually a logo, often made partly transparent. Either can sit behind the content, like a mark in the paper, so the text stays easy to read, or in front of it, so it can't be missed. Lowering the opacity keeps the page readable.

Two related features: a background is a colour or picture placed behind the whole page, and a stamp, such as Approved or Paid, is usually placed once on a page rather than across it.

What a watermark doesn't do

A watermark is a visible label, not protection. Someone with a PDF editor can often remove or cover a watermark, and it doesn't stop anyone reading, copying or printing the file. To control who can open a document, add a password; to take information out of it, redact it. A watermark added as a separate, editable layer is the easiest to remove; one merged into the page content is harder, but not impossible, to take out.

How to add a watermark in PDFZyro

  1. Open the PDF with Add a watermark.
  2. Type your text or choose a picture, then set the font, size, colour, rotation, opacity and position, and whether it goes behind or in front of the content.
  3. Choose all pages or some, and save. The watermarked PDF is a new version; the clean original is kept. PDFZyro never adds its own watermark to your files.
